Innovation Synopsis

SPL formed an Internal Communication Team consisting of full and part-time staff at all levels and branches who created a communication SharePoint page to house all meeting minutes, video updates, areas for good news and kudos and a link called “Let’s Connect” to share anonymous comments, along with a paper version with container for each branch.

Challenge/Opportunity

Good internal communication in any organization is a challenge. SPL has four branches and multiple departments where information needs to be shared. Meeting minutes were housed in various locations and staff reported they felt a disconnect between departments and branches. They also felt that information was sporadic, not timely and sometimes too filtered for them to feel they could adequately perform their jobs. Goal 2 of our strategic plan was to improve internal communication, so a team was formed to address the issue.


Key Elements of Innovation

Interested staff across the system formed a team and created surveys to find out what communication methods staff thought would work best for their position, if having access to minutes would make them more effective and if they would like an avenue to share anonymous comments, ideas or concerns with feedback from management. Follow up questions and conversations were held to determine what initiatives would move forward. Management held a town hall where results were shared and one last call for input was requested.


Achieved Outcomes

The “Let’s Connect” communication SharePoint page went live in August using Lego themed images and concepts. The initiative also includes a Lego head container each branch received to name and decorate. Staff can choose to submit either electronically or in print. Staff who submit in print can choose a prize from the container after their submission. Further endeavors will include expanded use of Teams for communication, a communications channel list for all forms of communication and a comprehensive internal plan.
